How productive is the email culture in your business?

All businesses track the cost of their email infrastructure: email servers, software licenses and so on. But few organisations measure the cost of a poor email culture - the email habits and processes that have evolved as people try to stay in control of an excessive volume of email.

Email volume is constantly increasing so we are all going to spend more time creating emails, reading emails and managing emails. When people spend this much time on email (upwards of 2 hours a day for many people), it makes sense to look at how email is used.

Poor email habits can cost you upwards of 20 days per year. And when you extrapolate this figure to the rest of your organisation, the number of lost days is huge.

What are the signs of a poor email culture?

In many organisations people have been left to do their own thing when it comes to managing their email and their Inbox. Over time, the habits and processes they develop become embedded in the organisation and part of the way the organisation "does email".  Habits such as checking each new email as it arrives; and expecting an immediate response to an email. These habits form the email culture of the organisation and can become a massive drain on productivity.

Email is a big part of the way we all do business. In fact, if you’re like most business people you probably use email for more than 60% of all business communication and you also receive more emails on a daily basis than every before.

It’s not going to get any better. Email volume is predicted to grow at between 25 to 40% per annum. As email volume continues to increase, so the cost of a poor email culture will increase. Can your organisation bear this increased cost?

What can you do to create a positive email culture?
